Waterstone, headquartered in Needham, Massachusetts, specializes in all facets of the business including development, acquisitions, leasing, tenant coordination, property management, marketing, treasury, and finance.

Waterstone Properties Group is seeking a self-motivated, detail-oriented problem solver to join its Needham, MA office as a Lease Administrator. The individual will be involved with the processing of commercial leases and working closely with the SVP of Leasing. A candidate should have extraordinary organizational and communication skills, as well as the aptitude to work on a wide variety of projects simultaneously, often in a time-sensitive manner. S/he must also excel at follow-through and be highly accurate.

Specific Duties include:

· Organizes and coordinates retail leasing efforts, including tenant outreach, proposals, and lease negotiations.

· Handle Leasing inquiries with prospective tenants by setting up appointments or tour.

· Prepare marketing materials for engagement with existing and prospective tenants in collaboration with the marketing team by developing a suite of communication tools

· Helps to put together leasing plans and coordinates needs, including leasing signs.

· Maintains vendor, tenant, and property files including insurance certificates, lease abstracts, amendment materials, schedules, and related data.

· Create lease abstracts and create a tracking process for monitoring critical dates

· Maintains Acquisitions and Leasing files, reports, and related communications.

· Assists with updates to VTS database and preparation of reports.

· Coordination, research and analysis to track metrics within the portfolio and the broader market to support leasing.

Desired Qualifications:

  • Minimum (3) years of administrative experience, background in retail lease abstracting, compliance, or administration as well as the shopping center industry.
  • Ability to prepare market analysis, define market rental rates, and determine ideal tenant mix.
  • Requires very strong and professional verbal and written communication skills. Self-driven with the ability to problem solve independently.
  • Ability to draft and write detailed notes, and communications to tenants, vendors, and contracted firms to prepare reports and presentations, technical information in a clear and concise manner.
  • Must be organized and task-oriented, able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities. Helping to automate processes and workflow.
  • Technical expertise - Proficiency in Microsoft Office suite: Word, Excel, PowerPoint, Adobe, Sharefile, Zoom, VTS, and YARDI is a plus.
  • Requires excellent people skills and the ability to build and maintain positive, supportive working relationships. (small office environment with close working relationships)
